Staging catering for a large group: pickup tables split by name

At 200 people and up, the food needs a floor plan before it needs a menu. For boxed meals, set several pickup tables and split them by the first letter of the last name, A to F, G to M and so on, with one more table for all the diet meals. Put a sign above each table, so guests walk to the right one without asking.

Settle the delivery time and the drop point in advance: the entrance the driver should use, the floor, and the name of the person who signs for the order. Clear the staging table before the first delivery comes through the door. For a buffet, put the stations in separate corners so the queues do not cross each other or the exits.

How many buffet lines for 200, 300 and 500 people: one per 75 guests

The rule of one line per 75 guests keeps the wait in a narrow band as the room grows. At 200 people, three lines serve everyone in about 20 minutes from one side, 10 from both. At 300, four lines take about 23 minutes. At 500, seven lines take about 22. At 1,000 it is 14 lines. The line count grows so that the wait does not.

The pans grow with the plates. A buffet for 300 people plans about 375 plates, 8 to 12 pans per main dish and 10 to 15 per side, shared out across the four stations. Mirror the menu at every station, and set each one up as a complete line of its own.

Booking catering for 200 people or more: weeks, not days

Large orders go in early. Zerocater lunch orders for 200 people or more went in a median of 19 days ahead of the meal, and the large majority at least a week out. Work back from the date. Collect diets with the RSVP, fix the delivery window, then place the order with the confirmed count.

Budget figures at this scale are in the NYC office catering cost guide. Smaller rooms are on catering for 75 to 150 people. The group size calculator handles any headcount up to 2,000.

Large group catering for an all-hands or a conference: where the planning continues

If the room is a company meeting, all-hands catering covers when to serve around the presentation and how to keep a monthly order from going stale. If it runs across several days, conference catering covers ordering by day-part.

For the far end of the scale, our account of what it took to feed one thousand people at a two-day conference shows the staging at four figures. Send CaterAi the headcount, the event date and the delivery time, and it suggests menus from catering partners set up for large events.

Large group catering FAQs

How many boxed meals for 200 people?

Between 210 and 220. Spares at this size are 5 to 10 percent, so 10 to 20 extra meals cover late additions and missed diet counts. Hold the spares back until every labeled box has been collected, so latecomers with a diet need are still covered.

How do you serve lunch to 500 people?

Either 525 to 550 boxed meals across several pickup tables sorted by name, or a buffet of seven complete stations, each serving its share in about 22 minutes from one side and 11 from both. A buffet this size plans about 625 plates, with 13 to 20 pans for each main dish.

How far in advance do companies order catering for 200 people?

Weeks ahead. At 200 people or more, the median lunch order on Zerocater was placed 19 days before the meal. Over half were booked two weeks or more out. Collect diets with the RSVP and fix the delivery window first, then order to the confirmed count.
