How coffee catering is packaged: the to-go box, the pump pot, and the urn

Coffee catering is priced by the vessel, not by the cup. The first choice is which container it ships in.

The to-go box, sold as a coffee traveler, is an insulated carton that pours roughly 10 to 12 cups. It sits on any surface, gets recycled after, and is the meeting default.

The pump pot is a steel airpot. It holds heat far longer than cardboard, which is what a long working session needs.

The urn is the event vessel. A caterer sets it up for 40 people and up, hot through the service, with cups and the milk setup usually on the same line.

How much coffee to order for a meeting: cups per person, decaf share, and the milk rail

Plan 1.5 cups per person for a morning meeting. Push toward two before 10am and cut it under one after lunch, when half the room switches to water. Thirty people at 9am is about 45 cups, so four to-go boxes. Fifty people is an urn.

Then split the order:

  • Decaf at 20 to 25 percent. One box in four, and it is the box people thank you for.
  • Hot water and tea bags, because part of any room never drinks coffee. A room where that share is large wants tea catering of its own.

The clock starts at delivery. A to-go box holds serving temperature for about two hours, then goes lukewarm and stops getting poured. A pump pot stretches that. An urn holds through the service.

So a four-hour morning is two waves. Set the second delivery for the halfway mark and order it alongside the first, because a same-day addition usually costs another delivery charge, if the caterer can fit it in at all.
